Position available ONLY to current DOE employees serving in either the Clerical Aide or Clerical Associate civil service title.
Position Summary: Provides administrative and clerical support for a Borough Enrollment Office. Performs responsible work for all enrollment-related activities including zoning, the Turning 5 kindergarten process, elementary and middle school choice, high school admissions, placement of students with disabilities and accountability transfer processes.
Reports to: Borough Placement Officer and Borough Director of Special Education Enrollment

RESPONSIBILITIES
There are various degrees of responsibility in this assignment related to:
- Browsing, reviewing and data entering student specific information in two or more systems, including ATS, CAP, SEC, SEMS, SESIS and other automated systems.
- Retrieving, logging, duplicating and transmitting student records and files.
- Completing paperwork associated with the registration, assignment, and site-offering of schools/programs.
- Contacting parents to complete registration process.
- Responding to inquiries from schools about enrollment issues.
- Reviewing and reconciling computerized enrollment reports.
- Maintaining database of open placement cases.
- Providing general administrative support to the Borough Enrollment Office including faxing, copying, filing, answering phones, greeting visitors, etc.
- Maintaining live class register lists for all schools.
- Assisting with all OTC duties. Hours will be comparable to other staff. Extended day will be required.
- Parent outreach which can include school visits, telephone calls, mailings and after hours follow up.
- Other related duties.
QUALIFICATIONS
Minimum Requirements
Must be serving in either the Clerical Aide or Clerical Associate civil service title at the Department of Education.
Preferred
- 5 years administrative/office experience.
- Familiarity with CAP, ATS, SEC.
- Knowledge of Microsoft applications.
- Strong organizational, administrative and interpersonal skills.
- Proficiency in a language other than English.
- Some evening and/or weekend work.
Salary: Per collective bargaining agreement.
